How to Successfully Manage Expectations
If you keep your key stakeholders informed when they need to be informed, you will look good, writes PMPlanet columnist Ron Ponce of Fog City Consulting.
As a project manager you spend a great deal of time building relationships. These relationships are with people such as members of your team and management that you will surely call on during the life of the project to successfully deliver on the project objectives.
The time that you invest in the relationship goes into building trust and credibility, which are built through your ability to deliver on your promises and keeping those in the relationship properly informed. The last thing that you want to do is blow it and lose that trust. The best way to avoid this is to properly set and manage expectations. As a project manager, you want to make sure that you keep your trusted relationships up to speed and aware of key items, while providing additional color on the urgency related to each.
Key relationships with project stakeholders, others in management, the client, and within the team trust you, as the project manager, to provide them information that will ensure that they are not blindsided by others because they were not "in the know"; where your failure to communicate key information in a timely way left them vulnerable and ill prepared.
In order to successfully, inform and warn your relationships, you need to stay not only on top of all project information and status but be ahead of it. The ability to proactively manage a project is an item that sets top project managers apart from their peers because they are a step or two ahead of the stakeholder, team, and other constituents on the project.
